• Job Description: Administrator, Office-Based

  • Position: Administrator

  • Reporting To: Operations Manager

  • Salary Range: Up to £23k (fte) dependant on relevant experience, pro-rated according to Contracted hours, 20 - 25 hours per week over 4 or 5 days, paid monthly in arrears

  • Start Date: Immediate

  • Holiday: 25 days per full calendar year, pro-rated according to Contracted hours, increasing with length of service, plus public holidays


Summary Of Duties:

  • General administrative & reception duties (greeting visitors, answering phone, updating holiday & absence calendar, general paperwork & filing)

  • Processing Orders received from Customers and entering onto Sage

  • Responding to Customer information requests, tracking Orders and keeping Customers informed of progress

  • Monitoring outstanding Sales Orders and reporting on Order Book value (weekly)

  • Despatching deliveries on Sage and the production of delivery paperwork

  • Booking deliveries by pallet network or courier if required

  • Obtaining Quotes from suppliers and updating prices on Sage

  • Placing Purchase Orders on suppliers and adding suppliers to system as required

  • Booking in of goods received on Sage

  • Monitoring outstanding Purchase Orders and chasing as required, by telephone or email

  • Monitoring and replenishment of Consumable Stocks (e.g: staff welfare items, stationery, production consumables, PPE)

  • Maintaining the Company Pricing Database and other Company records

  • Any other reasonable duties as required by the business


Key Skills & Person Specification (including but not limited to):

  • Excellent attention to detail and able to work with a high level of accuracy, both written and typed

  • Solid organisational and workload management skills, and able to respond to changing priorities

  • Confident & effective communication and listening skills, on the telephone and in person

  • Awareness of the provisions of the DPA & GDPR and able to use integrity when handling sensitive information

  • A very good standard of literacy and numeracy

  • Computer literate, and proficient in Excel & Sage (or similar package)

  • Self-disciplined, positive and outgoing

  • Friendly and professional communication style

  • Able to work unsupervised and as part of a team


Essential Experience:

  • Administrative, Finance or Purchasing experience is essential
